Pavilion Enclosure Terms and Conditions

In addition to the General Event Terms and Conditions the following apply:

 All pre-booked tickets are purchased via TicketCo. By purchasing from TicketCo you will be asked to accept their terms and conditions at the time of booking.

1. Pavilion Enclosure and designated Pavilion Parking

1.1.         The Pavilion Enclosure is open from 7.30am until one hour after racing.

1.2.         All Pavilions are sold on the basis of private non-commercial use. Commercial operation e.g. re-selling tickets) isn’t permitted unless agreed in writing, in advance, with The Copas Partnership. We reserve the right to cancel any booking which does not adhere to this.

1.3.         A maximum of 10 guests per Mini Pavilion, 20 guests per Essential Pavilion and 25 guests per Deluxe Pavilion will be allowed to ensure the comfort of all Pavilion guests. Children under 5 years of age do not count as one of your numbers.

1.4.         Each Pavilion booking includes parking passes. One car can stay behind the Pavilion itself but must not obstruct the access way. Any others must park in the Gate A standard car park. Minibuses can park behind their pavilion for unloading purposes only. Minibuses and coaches are permitted by prior     written arrangement only as the correct tickets are required to access Gate A.

1.5.         Coaches are not permitted within the Pavilion Enclosure but can be accommodated in the Gate A standard car park in the designated Coach Park area. Please do not try to access Gate B in a coach.

1.6.         Pavilions must be vacated one hour after racing each day. All equipment and vehicles must be removed as no access re-entry will be permitted after this time to collect belongings or for any other reason. Overnight parking is available nearby in the Gate A standard car park. Cars parked here overnight will need to be moved by 9:00am the following day, unless a valid car park pass for that day is also displayed. It is the ticket holder’s responsibility to ensure you have a designated driver.

1.7.         If you have any special requests, please let us know in advance and we will do our best to accommodate these requests but cannot guarantee them.

1.8.         All our Saturday Pavilion Enclosure bookings include admission to the Barn Bar area on Regatta Saturday for each guest. Additional wristbands for the Barn Bar can be bought on the day. The Barn bar is over 21s. Admission is free on all other days.

1.9.         Our ‘in-house’ caterers can be booked to provide food and drink and/or you are able to bring your own picnic. External caterers are not permitted under any circumstances. We reserve the right to cancel your booking if external caters are intending to be at the event or on the day.

1.10.      Picnic tables, umbrella and trestle tables will be included in the price of your tickets and will be situated inside your enclosure. Any damages to these items within your enclosure will be charged for.

1.11.      You as the customer are responsible for your guests behaviour and that they adhere to the Terms and Conditions at all times.

2. Prohibited

2.1.         No BBQs, naked flames, fires or candles are permitted in the Pavilion Enclosure or in the designated Pavilion parking area.

2.2.         No external catering companies allowed.

2.3.         No gas bottles are permitted in the Pavilion Enclosure or in the designated Pavilion parking area.

2.4.         No dogs, except for those required for disabled assistance, are permitted in the Pavilion Enclosure or parking area.

2.5.         Drinking games are not permitted, we reserve the right to cancel your booking and ask the whole group to leave if there is unruly behaviour and/or drinking games.

2.6.         No generators or urns are permitted in the Pavilion Enclosure.

2.7.         Gazebos are not permitted in the front of the Pavilion Enclosure area or the designated Pavilion Parking.

3. Tickets & Wristbands

3.1.         You must retain your booking confirmation at all times. Tickets and wristbands (if applicable) will not be replaced under any circumstances.

3.2.         Each guest will receive the appropriate number of wristbands on entry, which must not be removed until departure. Failure to show an intact wristband on request by stewards or security will lead to entry to the enclosure area being refused and could result in you being asked to leave the event.

3.3.         A wristband does not guarantee entry into the Barn Bar. We operate a strict ID and door policy on the door.

4. General

4.1.         Children under 18 must be accompanied at all times. Please note, our bars are over 21s only on Friday and Saturday. A challenge 25 policy will be in operation. Please bring acceptable photographic ID.

4.2.         Please note car parks will be locked from 12:30am-6:30am.

4.3.         No camping is permitted in the Pavilion Enclosure. If you wish to camp, please book into the Glebe Campsite or Templeview Glamping site.

4.4.         The Management will ensure that, where applicable, the Event will comply with the most recent Government guidelines on Covid-19, or any other pandemic, including but not limited to, guidelines regarding numbers of attendees, social distancing measures and contact tracing.

5. Tickets

5.1.         Tickets/bookings are not refundable under any circumstances other than the cancellation of the Event due to Government guidelines on COVID-19. If you are no longer able to attend, we will endeavour to resell your pavilion(s). If we are successful in doing this, we will refund you minus the booking fee.
